Reducing the recruitment admin burden

If you are in the recruitment, search & selection or headhunting business, you'll know just how much admin is involved. Having to cope with this inevitably undermines efficiency and your ability to meet targets - you may even have additional expensive recruitment consultants because they carry this burden themselves.

A full time Administrator might be a convenient option, but it can work out expensive because you pay for office space, equipment, holidays and absences, plus the employment costs, with unproductive time on top of that. The modern alternative is to outsource routine admin tasks to a virtual business service provider, freeing up consultants to focus on clients and candidates. After all, they're paid to use their recruitment skills, not they're admin or typing skills, to secure placements.

From our experience, there are several recruitment admin tasks that can be outsourced immediately:
  • Calls: taking phone calls whilst consultants are interviewing
  • CVs: converting candidate CVs into your standard format
  • Interviews: booking candidates and managing schedules
  • Notes: typing-up meetings from audio dictation notes
  • Reports: compiling client reports and presentations

Allowing the outsource partner to access your IT network, to directly manage your central filing and recruitment databases, can remove another costly layer of admin. However, you will have to manage this more closely, but it could prove an extremely worthwhile investment. If you are at all concerned, ask people who have done this before about dealing with any potential issues.
