How do VAs manage client documents?

Many large companies are concerned about how their documents will be managed. They want them to be secure, they want to avoid inefficient emailing back & forth and they always want to have access to the latest version. This is especially important if their Virtual Assistant is updating company records (e.g. tracking holidays, mobile phones, security cards, etc).

Many VAs rely on their PC for storing client documents. Not only are they inaccessible to the client, the chances are they're not backed-up daily - a common problem. When choosing a virtual service provider be sure to ask how and where your documents are stored, what the back-up and security arrangements are, how access by the client and other VAs they work with is managed.

The ideal solution is to manage documents from a secure server, accessible via the internet. Office Lifeline uses a WebOffice solution that allows our VAs (with the correct permissions) to access client documents via the internet, and the client can do the same from anywhere they happen to be working in the world, 24/7 - so both parties always have access to the latest version of all their documents.

This is an important part of delivering Office Admin Services, so the VA can operate as part of the client team. For large clients, it can be easier to access their secure intranet, but if that's not possible we suggest providing them with their own WebOffice, or a similar solution. This should allow the VA to manage joint calendars and tasks, set up active work schedules and use online databases to manage tracking tasks.
